Job Description:
Handle import – export documents to provide a full set of documents for OPS:
• Receiving shipment information from the sales department or the customer directly
• Connecting with the customer to receive a complete and valid set of documents
• Checking and providing feedback to customers on the validity and completeness of necessary documents for customs procedures
• Consulting customers: goods subject to specialized inspection (plant quarantine, animal quarantine, quality inspection, food hygiene and safety, labor safety, energy labeling, etc.), Apply for a license from a specialized management agency and check the validity of the C/O
• Applying for a permit, directory, register with a specialized management agency (if any)
• Preparing a draft set of documents and customs declaration to send to customers for checking and confirmation before making an official declaration to Customs
• Registering, declaring an official declaration.
Notifying customers of information and the progress of handling, freight forwarding to meet customer requirements:
• Updating customers on the progress of customs procedures, handling progress, and delivery time. Costs incurred during the process of handling (if any)
• Monitoring and supporting the operations department to organize freight forwarding according to customer requirements and plans
• Supporting customers with additional services after completing the forwarding, such as completing tax refund procedures, tax deductions, tax exemptions, implementing tax complaint procedures, etc. (if any).
Managing forwarding, store documents to hand over to customers and serving post-inspection work:
• Returning the complete set of documents to the customer in accordance with the agreement: license, customs declaration, contract and set of original documents invoice, packing list, bill, etc.
• Storing all documents and data for each set of documents in scanned files, minutes of goods delivery and receipt, minutes of documents delivery and receipt
• Reporting directly to team leader or department leader on arising issues (if any), the need for additional services, and the changing situation of customers and competitors.
• Report the work result to team leader:
• Creating file tracking report for team leader
• Recording the history of document delivery and receipt, delivering document until the shipment is completed, and reporting to the Team Leader
Requirements:
• Have knowledge of Customs, import – export, foreign trade and HS code application
• Have skills in reading comprehension, accurate document analysis, analysis, logical thinking, data management and teamwork
• English level TOEIC 500
• Proficient in office computers (Word, Excel, Power Point)
• Problem-solving skills
• Communication skills
